Transparency Statement

About

This Transparency statement, sometimes called a Privacy statement, includes information about how we use or share your information and what your rights are..

Data controller

When we use your personal data, Wakefield Council is what we call the data controller.

As the data controller, we must:

  • only keep your data that we need to provide you with information about support and services relevant to you, where you give consent for us to do this
  • keep your records safe and accurate
  • only keep your data as long as we have to
  • only keep your data as long as we have to
  • collect, store and use your data in a way that does not break any Data Protection laws

Things you can do to hep us:

  • tell us when any of your details change; and
  • tell us if any of the information we hold on you is wrong

What is personal data?

Personal data is information about a living person that means we can work out who they are such as name, address, date of birth etc. This can include written letters, emails, photographs, audio recordings and video recordings.

Some data is called ‘special category data’ which is more sensitive, and we have to look after it more carefully. This includes details of ethnic origin and health data.

Why we collect and store personal data

If you choose to join the Information Network, we need to use your personal data so we can get in touch to tell you about services, support and information relevant to you. We can only do this with your consent.

You can find out more about the Information Network and read the Transparency statement about that here.

Using the Local Offer website

If you are a user with general public access, the Wakefield council web site does not store or capture personal information, but merely logs a number called your IP address which is automatically recognized by the system.

The system will record personal information if you:

  • subscribe to the Information Network that requires personal information
  • report a fault or problem with something on the website and give your contact details for us to respond
  • contact us and leave your details for us to respond

We employ cookie technology to help log visitors to our web site. A cookie is a string of information that is sent by a web site and stored on your hard drive or temporarily in your computer’s memory. The information collected is used for the administration of the server and to improve the service provided by the web site.

No personal information is collected this way.

You can read more about cookies and how these work on this website here.

This statement only covers the Local Offer website, maintained on our behalf by Barnardo’s WESAIL, and does not cover other websites linked from our site. These websites should have their own Privacy statements that tell you how your information may be used or stored.

Using your personal data

We will use your data to:

  • provide information about support and services relevant to you with your consent
  • listen to your ideas about services in the local area for families with children and young people aged 0-25 years with additional needs

At no time will your information be passed to external organisations for marketing purposes or for any commercial use without your prior express consent.

Should you have any queries about how we process your data, or wish to see what information we are holding about you, please write to the SEND Development Team, Room 230, County Hall, Bond Street, Wakefield, WF1 2QW.

My favorites

My favorites is where you can save a page or pages on the website to refer to later. You or someone who may be supporting you and your family can also print off this saved information as a booklet for you to keep.

When a booklet is printed, there is an option to add personal information to the cover so that a practitioner who may work with different families can identify what information they have printed for each family. This personal information includes name, address and email where applicable so that the booklet can be sent out. These details are not stored and do not appear on the page again if you print another booklet.

Details of any pages you add to My favorites to refer to later will still appear each time you open the website from the same device. This is because of the cookie technology we use on the website. You can change your device settings so that your cookies are automatically cleared when you log off the device if you don’t want pages to be saved. For more details about cookies and how these work on this website here.

Joining the Local Offer

If you are a group or service that would like to join the Local Offer, free of charge, you can fill in your details online or ask for an application form to be sent to you.

When you give your details online, this will not be stored by the system but will be sent directly to Barnardo’s WESAIL who maintain the Local Offer website on behalf of Wakefield Council.

You can find out more about how your information will be used in Barnardo’s Service Specific Information and their General Privacy Notice. You can also ask for a copy of the Individual Sharing Agreement between the Council and Barnardo’s by contacting the SEND Development Team on 01924 302410 or email SEND@wakefield.gov.uk or Barnardo’s WESAIL on 01924 304152 or email wakefieldlocaloffer@barnardos.org.uk.

Your information rights

In general, you have the right to request that Wakefield Council, where appropriate:

  • provide a copy of your personal information, this can be hard copy or in a format that would make the details portable
  • correct any errors in your personal information and restrict processing until completed
  • object to the processing, depending on the service and legal basis
  • erase personal information, depending on the service and legal basis
  • withdraw consent and have your data deleted, if consent is used as the legal basis for the service
The transparency statements for the Information Network and Joining the Local Offer will detail what information rights you have.

Where possible we will seek to comply with your request but we may be required to hold, retain or process information to comply with a legal obligation or as a public task.

We try to ensure that any information we hold about you is correct. There may be situations where you find the information we hold is no longer accurate and you have the right to have this corrected.
